How activity providers hand confirmed bookings to operations
A confirmed activity booking is not ready for delivery merely because the client accepted the price. Operations still needs the correct guest details, payment status, service time, meeting instructions, documents, and a clear view of anything that remains unresolved.
When those facts are split across email, chat, payment records, and spreadsheets, the delivery team must reconstruct the booking. A controlled handoff creates one current operational record and makes its owner explicit.
Define what confirmation means
Teams should agree on the conditions that move a request into confirmed status. These may include written acceptance, a deposit, supplier acknowledgement, or internal approval. The exact rule can vary, but it should not depend on personal interpretation.
Record the confirmation date, the person who confirmed it, the agreed service, the amount paid or due, and any deadline that still matters. If a booking is provisional or held, keep that state visible instead of presenting it as final.

Complete the guest and service record
Before handoff, check that operations can identify the service and the people receiving it. Capture the confirmed date and time, pickup or meeting point, lead traveller, contact details, guest count, relevant age information, language or accessibility needs, and the agreed inclusions.
Do not copy partial details into a separate operations file. Update the same booking record used by sales so later client changes remain connected to delivery.
Reconcile payments, vouchers, and documents
The handoff should show what has been invoiced, what has been received, what remains due, and who owns collection. It should also show whether the voucher, confirmation, waiver, passenger list, or other required document has been prepared and sent.
Use explicit statuses rather than assuming a document exists because somebody mentioned it in a message. Each outstanding item needs an owner and due date.
Translate client promises into operational actions
Sales conversations often contain promises that do not fit neatly into a standard field: a private pickup, a dietary note, a special celebration, or a revised meeting time. Turn each relevant promise into a visible action for the person delivering the service.
Link the action to its source so operations can verify what was agreed. If a request cannot be confirmed, record the alternative communicated to the client instead of leaving an ambiguous note.
Close the handoff with a readiness check
Use a short pre-delivery check for guest details, service timing, contacts, payment status, documents, special requirements, and open actions. The booking is ready only when every unresolved item has a named owner and deadline.
This workflow does not manage sellable inventory or resource capacity. It controls what happens after an activity booking is confirmed. For a shared post-sale booking and delivery workflow, explore tour operator booking software.
