STO rate mistakes that quietly damage travel margins

An STO rate is a contracted wholesale rate supplied to a tour operator. The contract can be stored correctly and still produce a bad quote. The problem usually appears when contract rules are interpreted under time pressure: the wrong season is selected, a child policy is applied to the wrong age, a supplement is missed, or a net rate is treated as though it includes a fee.

These are quote-level mistakes. They are different from general rate-file maintenance because the source contract may be accurate. The risk lies in how its terms are applied to this departure, this room, and this traveller mix.

Confirm validity and season before using the rate

Start with the service date, not the date the quote is prepared. Check the contract's valid-from and valid-to dates, season boundaries, day-of-week rules, blackout dates, and minimum-stay conditions.

Be careful around boundary dates. A trip that crosses from low season into peak season may need more than one nightly rate. A package spanning a public holiday may carry a supplement even if most of the stay falls in a normal period.

Record which season was applied so another person can reproduce the calculation.

Match occupancy and traveller rules exactly

Room and traveller rules create many silent errors. Confirm whether the rate is per person, per room, per unit, per vehicle, or per service. Then check single supplements, triple-room rules, free-of-charge places, guide accommodation, and maximum occupancy.

Child pricing needs particular care. The contract may use age bands that differ from the team's standard categories, and the policy may depend on whether the child shares with adults. Do not infer a child rate from the adult price when the contract defines a separate rule.

Add every supplement, fee, and exclusion

Some costs appear outside the main rate table. Common examples include festive supplements, mandatory meals, park or conservation fees, city taxes, transfer charges, guide fees, and service levies.

Check whether taxes are included, excluded, or subject to change. Confirm whether the supplier quoted a net rate or a commissionable selling rate, and whether commission has already been reflected. Check whether the contract specifies a particular currency or exchange condition. A missing fee may look small per traveller but materially reduce margin across a group.

Document overrides and exceptions

Supplier emails often modify the contract for a specific request: a promotional rate, a held room, a waived supplement, or a deadline extension. Attach that exception to the quote and record who approved it, what it changes, and when it expires.

An undocumented override is difficult to verify and easy to reuse after it is no longer valid.

Use a quote-level STO checklist

Before sending, verify the travel date, applicable season, unit basis, occupancy, traveller ages, supplements, mandatory fees, tax treatment, currency, cancellation conditions, and any exception deadline. Then compare the resulting cost with the proposed selling price and target margin.

STO accuracy comes from applying contract rules consistently to a live quote. For structured supplier-rate and margin control, explore supplier rates and margin control.
